Your builder shapes everything about a renovation, from how smoothly it runs to what the finished work looks like in ten years. It is also a working relationship that will last six months or more, which is worth remembering while you are comparing quotes.
What actually separates builders
- Renovation experience specifically, not new builds. They are different jobs.
- A current Victorian registration you have checked yourself.
- A quote detailed enough to compare against another one.
- Communication you can already judge from how they handled your enquiry.
Why the choice matters more than it looks
A renovation or extension is a coordination problem as much as a construction one. Design, trades, materials, council approvals and build sequencing all have to line up across weeks or months, and the builder is the person holding that together.
Beyond the project management, this is a relationship. How a builder communicates, how they solve problems and how they handle the things nobody planned for will shape your experience of the build and the quality of what you end up with.
What to check
Relevant experience
Builders do not all work across the same project types. One who mainly delivers new builds may not have the approach a renovation needs, where existing structures, site constraints and older building methods all come into it.
A lot of Melbourne housing is period stock with its own structural realities. Look for direct renovation and extension experience, and ask to see completed projects close to yours in scope and style.
Licensing, insurance and compliance
Any builder you engage should hold a current Domestic Builder registration with the Victorian Building Authority. You can check this yourself on the VBA register rather than taking it on trust, and it takes about a minute.
Confirm they carry the right insurance, including domestic building insurance for projects over the relevant threshold. A builder who knows the local council and its overlays can also run the permit applications, which reduces the risk of approval delays.
Check it directly
Ask for the registration number and look it up on the Victorian Building Authority register. JTD’s is CDB-U 64740, and the building practitioner registration is DBU-64516. Any builder should be comfortable giving you theirs.
Transparency in the quote
A proper quote sets out what is and is not included: materials, fixtures, finishes, timelines and allowances. Vague estimates with undefined scope are where most construction disputes begin.
Ask how provisional sums and allowances work, and whether the quote covers permits, site preparation and waste removal. Those three are the most commonly omitted.
Communication and project management
Consistent communication is one of the better indicators of a well-run build, and you can assess it before signing anything. How quickly did they respond? How will progress updates work? Who is your day-to-day contact on site?
Builders with structured project management keep work on schedule, raise issues early and coordinate trades without gaps or overlaps.
Workmanship
Look past the surface finishes in a portfolio. Consider the joinery and cabinetry, the tiling, and above all how new work meets existing structure, because that junction is where a renovation either reads as part of the house or as something bolted on.
Reviews and reputation
Reviews and testimonials give you a sense of what working with a builder is actually like. Look for consistency on reliability, communication and whether the finished project matched what was agreed. A steady track record across many projects tells you more than one glowing review.
Questions worth asking at the first meeting
- How many renovation or extension projects have you completed?
- Can you show me similar work, and give me client references?
- Who manages the project day to day on site?
- What is the estimated timeline from start to completion?
- How are variations and unexpected costs handled?
- Do you handle permits and council approvals?
- What is your registration number?
Ask all seven of every builder you meet. The answers are useful, and so is watching which questions make someone uncomfortable.
Why renovation experience matters in Melbourne specifically
Melbourne’s housing runs from Victorian weatherboards to mid-century brick and post-war fibro. Each carries different structural realities, and renovating them calls for knowledge that does not transfer from new construction.
There is also the council layer. Requirements, heritage overlays and neighbourhood character provisions vary considerably between municipalities, and experience with those processes is what keeps a project out of the planning queue longer than it needs to be.
How do I check a builder is registered in Victoria?
Search the Victorian Building Authority’s register of building practitioners using their name or registration number. It shows whether the registration is current and what categories it covers. Ask for the number up front; a reluctance to give it tells you something.
How many quotes should I get?
Three is usually enough to see the range. More than that and you are mostly spending your own time. What matters more than the count is that each quote covers the same scope, otherwise you are not comparing anything.
Should I choose a builder or a designer first?
Either works, but bringing a builder in early tends to produce fewer surprises, because buildability and cost get considered while the design is still on paper. Builders who offer design and construct handle both under one contract.
What is domestic building insurance?
Cover required for domestic building work over a set value in Victoria. It protects the owner if the builder cannot complete the work or rectify defects due to death, insolvency or disappearance. Confirm it is in place before work starts.
